Getting ready for AI: start with one task and your data

A practical way to choose a first AI use case, check your data and keep people in control.

A planning table with notebooks and a laptop.

The most useful first AI project is usually small and specific: one task that takes staff real time, with information the business already holds. Starting there shows whether AI helps before anyone commits to a larger programme.

Pick a task, not a technology

Good candidates are repetitive, text-heavy and easy to check: answering common questions from policies or product information, summarising documents, drafting replies, or sorting incoming requests.

Check the information behind it

  • Is the source material current, and is there one agreed version?
  • Who is allowed to see it, and should the assistant respect the same permissions?
  • Does it include personal data, and is there a lawful basis to use it this way?
  • Where will the data be processed and stored, including by any AI provider?

Keep people in control

Decide in advance when a person must review or approve an answer, how mistakes are reported, and how the system will be monitored. For decisions that significantly affect people, UK GDPR expects meaningful human involvement. A data protection impact assessment is a sensible step where personal data is involved.
